Job Description

Assistant Office Manager – Job Overview
The Assistant Office Manager is responsible for handling key administrative tasks to ensure the smooth and efficient operation of the dental office. This role involves managing patient scheduling, office supplies, insurance verification, payment processing, staff training, patient communication, and general office functions. The Assistant Office Manager works closely with the Practice Manager to maintain a well-organized office while providing excellent patient care.

Key Responsibilities:

Patient Scheduling: Manage appointment booking, rescheduling, and confirmations to ensure a full schedule and minimal wait times.
Insurance Verification & Billing: Verify patient insurance coverage, file claims, and manage outstanding balances.
Financial Management: Process patient payments, manage accounts receivable, and generate financial reports.
Office Operations: Order dental and office supplies, maintain inventory, and coordinate with vendors.
Patient Communication: Answer phone calls, address patient concerns, and provide appointment reminders.
Staff Support: Assist with staff training, scheduling, and ensuring adherence to office policies.
Front Desk Management: Oversee reception duties, including patient check-in and check-out procedures.
Marketing & Promotion: Assist with marketing initiatives to attract new patients, as directed by the Practice Manager.
Compliance Management: Ensure adherence to HIPAA regulations and other dental practice guidelines.

Additional Responsibilities:

Delegation of Tasks: Delegate duties to staff based on office size and workload.
Reporting: Report directly to the Practice Manager and assist with overall practice operations.
Clinical Knowledge: Basic understanding of dental terminology and procedures is beneficial but not required.

This role requires strong organizational skills, the ability to multitask, and effective communication with patients and staff. The Assistant Office Manager plays a vital role in maintaining a well-functioning office and delivering exceptional patient care.
