Dental Front Office Team Lead
Job Overview:
We are seeking an experienced and motivated Dental Front Office Team Lead to join our fast paced and growing practice. The successful candidate will have a dynamic and energetic personality and will be responsible for overseeing 3 front office staff members and operations, with a strong focus on managing patient accounts, ensuring excellent patient care, and supporting our administrative team in collaboration with the Office Manager.
Key Responsibilities
- Collection of Money: The ideal candidate will have extensive experience and be confident in managing financial transactions, including collecting large sums of money from patients. This includes, but is not limited to, handling past due balances. The candidate should possess strong communication skills and the ability to deescalate tense situations surrounding collections while maintaining a firm and professional stance.
- Treatment Planning: Work closely with the clinical team and the Office Manager to ensure treatment plans are effectively communicated to patients and assist in coordinating care. The perfect candidate should have strong organizational skills, a thorough understanding of dental procedures, and be confident in discussing treatment options and financial responsibilities with patients. (Although this will not be a main duty for this position, the experience and knowledge is required)
- Patient Account Management: Overseeall aspects of patient account management, including billing, insurance claims, payment processing, and account reconciliation with the support of the Billing Manager and Office Manager.
- Financial Coordination: Manage patient billing by ensuring accuracy and timeliness in processing insurance claims and payments in collaboration with the billing team. Collaborate with the Back Office Team Lead to ensure that patient clinical notes are being completed to the office standard and in a timely manner.
- Patient Communication: Communicate with patients regarding their accounts, addressing any questions or concerns, and providing detailed explanations of billing statements, breaking down explanation of benefits and insurance coverage.
- Appointment Scheduling: Ensure that all provider schedules remain full by overseeing the scheduling of patient appointments, optimizing clinic workflow, and minimizing wait times. Have the ability to enforce "no show” fees and protocol while upholding a confident, firm and professional demeanor.
- Leadership: Lead the front office team, fostering a positive work environment and promoting teamwork.
- Administrative Support: Assist with daily administrative tasks, including handling phone calls, emails, and patient inquiries.
- Training: Provide training and support to new and existing front office team members by implementing existing protocols to ensure consistency and efficiency in all front office operations.
- Problem-Solving: Address and resolve any patient concerns or issues that arise in a timely and professional manner with the support from the Office Manager.
Qualifications:
- Minimum of 3 years experience in a dental front office role, with at least 1 year in a leadership position.
- Strong understanding of dental office procedures, insurance processes, and patient billing.
- Excellent interpersonal and communication skills.
- Ability to multitask and work efficiently in a fast-paced environment.
- Proficient in Dentrix.
- Detail-oriented with strong organizational and problem-solving skills.
