Job Description:
Summary: Responsible for performing administrative duties associated with our dental office. Acts as a liaison between patient and doctor regarding appointments, finances, and various communications.
General Duties
- Opening Duties – Including turning on lights, computers, feed CJ, turn on TV, open shutters, turn on diffusers
- Maintain a professional reception area; organize patient education materials, magazines and stock supplies in lobby and restroom as necessary
- Print schedules for morning huddle and bring new patient slips for the day
- Checking voicemail every morning, after lunch, and throughout the day
- Monitoring incoming texts to ensure responses are given in a timely manner
- Checking email daily and respond professionally in a timely manner
- Greets and welcomes patients and visitors to the practice
- Pull new patient slips for the week and confirm them
- Confirm the next day’s appointments according to protocol and patient preferences
- Check in patients according to office protocol (notify provider and update schedule)
- Check out patients and process payments
- Establishing financial agreements and explaining office financial policy to patients
- Enter patient payments daily
- Verify and update patient information as needed
- Scanning documents to document center and deleting from desktop when done
- Sending x-rays to other offices as needed encrypted
Schedule
- Schedule patients for efficient use of doctor and staff time according to template
- Check patient ASAP list to try to fill in cancellation and no-show appointment times
- Filling and scheduling appointments for both doctor and hygiene
- Working the unscheduled appointments list and ASAP list as needed
- Working the unscheduled treatment list weekly to maintain production if needed
- Assist in implementing new procedures/protocols
- If patient breaks appointment send BA letter & document in ledger
- Notify hygienists or assistants if a patient cancels, is late or schedule changes
New Patients
- Phone calls - Asking facilitative questions, documenting all info on slips
- Requesting x-rays if needed
- Getting and confirming insurance information
- Confirm and sign paperwork with new patients at initial visit
- Importing new patient questionnaires and printing as necessary
- Create new files for new patients
- Ensure all entry has been done after receiving back from assistants by reviewing new patient checklist
- Scanning all new patient paperwork to document center
Perio Charting & Treatment Planning
- Assist with perio charting & treatment planning when needed
- Scan and enter consult prep treatment plans, call patients to follow up and scheduling as needed
Inventory
- Monitor inventory bi-weekly and give to Practice Administrator for ordering
- Maintain O2 and Nitrous Tank Supply and order as needed
Insurance
- Posting Insurance payments daily from mail
- Posting Insurance payments from Delta Dental both websites
- Following up with Insurance as necessary
- Audit patient accounts as needed
- Following up on Insurance Aging Report
- Entering Pre-Authorizations
Office Participation
- Be an active participant in staff meetings
- Perform other tasks as assigned by Dr. Tomazin or Practice Administrator
- Prepare and send out miscellaneous correspondence as needed
