At True Sleep, we are dedicated to providing exceptional healthcare services with a focus on patient satisfaction. Our team thrives on excellence, and we are looking for a dynamic Medical Administrative Specialist to join our growing practice.
At True Sleep, we provide an alternative to the CPAP machine, for people who have been diagnosed with Obstructive Sleep Apnea, but who cannot tolerate the machine with the mask OR who don't want to sleep with a mask. We provide another option as an oral appliance that is made by our provider, Dr. Crystal Morris- who is a Sleep Dentist. We do not do any traditional dentistry, and this is more like a sleep medicine dental practice. What we do is incredible rewarding because we help people finally have a solution to help them sleep, allowing them to breathe at night.
**Key Responsibilities:**
- Provide top-notch customer service to patients, ensuring a warm and welcoming environment.
Provide half clinical duties with patient care:
-Triaging patient, taking vitals and finishing patient paperwork upon arrival for consultations
-Provide patient education on obstructive sleep apnea, dental appliances and what we do to treat their Sleep Apnea
-Completing intra-oral scans for patients and helping with bite records and charting/clinical notes
-Adjusting devices for tight spots on models, also helping with the titration process of getting the patient through the advancement of the device
-Getting patients set up for sleep testing
-Calling to check on patients throughout the titration process
-Follow up visits with patients throughout the titration process
-Strong leadership skills and being able to help educate patients
-Following patients from scheduling of the consultation to the completion of treatment and making sure patient has a great experience
-Getting the devices ready for delivery appointmnets and patients scheduled
-Communication with dental labratories we use and tracking devices to make sure they are coming on time and no issues
Provide half administrative duties:
-Provide excellent and efficient intake process over the phone of our incoming referrals and getting patients scheduled thouroughly. (We take more time on the front end, which is the initial call to the patient, doing a thorough intake to help set us up for success at our consultations.) We are looking for someone who can work fast, be extrememly engaging with patients and gather all the pertinent information accurately.
- Comb through and understand clinical notes from referring offices, paying attention to details to make sure insurance criteria are met, as well as documenting what other medical documentation we will need for insurance claims- Background in medical terminology, reading through medical notes and understanding them
-Calling other medical practices to get the proper documentation sent over to our office before consultations all while maintaining and building relationships with the staff of referring offices and potential referring providers.- Utilize advanced technology and administrative skills to streamline workflows and improve patient care.
-Scheduling patients, taking phone calls and making call to patients and referring offices
- Multitask effectively in a fast-paced environment while maintaining attention to detail.
- Problem-solve and apply deductive reasoning to understand information quickly and figure out "where" the patient has been, where they are now, what their needs are and what we need for the consultation
- Maintain a high level of professionalism, integrity and sincerity in all interactions.
**Qualifications:**
- Dental assistant experience, experience adjusting removable appliances out of the patients mouth or dental lab experience
-Having experience with 3-D intraoral scanner
-Proven experience in a medical administrative role or similar position.- Strong understanding of medical terminology and healthcare documentation.- Exceptional customer service skills, demonstrating kindness and sincerity.- High proficiency in technology and administrative tasks, including fast and accurate typing.
-Computer literacy- Ability to multitask, prioritize responsibilities, and excel under pressure.- Excellent problem-solving skills and a proactive approach to challenges.- Detail-oriented with a commitment to producing high-quality work with minimal errors.- A background in healthcare is preferred.
