POSITION TITLE: FRONT OFFICE REPRESENTATIVE MOBILE DENTAL
FLSA: NON-EXEMPT
Job Summary:
The Mobile Dental Front Office Representative is responsible for managing patient intake, scheduling appointments, and verifying insurance eligibility for a mobile dental unit. This role involves maintaining accurate patient records, processing payments, and ensuring efficient communication between patients, dental providers, and administrative staff.

Duties/Responsibilities:
Register and welcome patients and gather necessary information for their visit.
Confirm patient insurance eligibility.
Follow procedures for document scanning, filing claims, processing referrals, and handling pre-authorizations.
Coordinate provider schedules, including managing appointments for patients and walk-ins, and follow up on missed or no-show appointments.
Perform data entry as required.
Engage in ongoing education and quality assurance by attending in-service seminars and staff meetings.
Schedule, confirm, and manage dental provider appointments, handling cancellations and rescheduling as needed.
Verify patient insurance eligibility and assist with claims, referrals, and pre-authorizations.
Collect co-pays and payments, ensuring they are accurately posted to patient accounts.
Maintain patient records in accordance with HIPAA regulations.
Address patient concerns, complaints, and inquiries promptly and professionally.
Scan, organize, and label important documents such as medical histories, registration forms, insurance cards, and treatment plans.
Adhere to SCHC's money handling policies, ensuring accurate collection and posting of payments.
Manage the scheduling process for all patients, including walk-ins, and follow up on missed or rescheduled appointments.
Keep patients and visitors informed of any wait times.
Answer phone calls professionally, record accurate messages, and respond in a timely manner.
Follow up on missed appointments and accommodate same-day requests when possible.
Submit insurance claims, referrals, and pre-authorizations as necessary.
Process and file insurance and billing documents with accuracy and attention to detail.
Assist with administrative duties such as sorting mail and preparing reports.
Collaborate with the dental team to ensure smooth patient flow.
Participate in staff meetings and training sessions to develop skills and improve job performance.
Perform additional tasks as needed to support the centers.

Ability to use office equipment, including computers, copy machines, fax machines, telephones, calculators, and more.
Proficient with Microsoft Office Suite, dental software, EMR or related software.
Education and Experience:
High School Diploma or equivalent is required.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 25 pounds at times.
Must be able to travel to various center locations as required.
