The Dental Office Manager Assistant plays an essential role in supporting the daily operations of the dental office. This position involves assisting the Office Manager with administrative, organizational, and financial tasks to ensure the smooth functioning of the practice. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities for an Assistant:
1. Administrative Support:
o Assist the Dental Office Manager in overseeing day-to-day office operations.
o Answer phones, schedule patient appointments, and confirm upcoming appointments.
o Handle patient inquiries and concerns with professionalism and care.
o Maintain patient records, ensuring accurate and up-to-date information.
o Help with patient billing, processing payments, and managing insurance claims.
o Financial duties, as directed by the Office Manager.
o Help with scheduling and coordination of marketing events and community outreach.
2. Patient and Staff Coordination:
o Greet and check in patients, ensuring a welcoming atmosphere in the office.
o Help manage staff schedules and ensure coverage for shifts.
o Coordinate between dentists, hygienists, and other team members to ensure smooth workflow.
o Assist with training new staff members on office procedures/policies and software.
3. Office Management:
o Ensure the office is well-organized and stocked with necessary supplies.
o Oversee inventory and order office and dental supplies as needed.
o Monitor the maintenance and cleanliness of the office space.
o Assist with preparing patient treatment rooms before appointments.
o Handle administrative tasks such as filing, scanning, and faxing documents.
4. Insurance and Billing:
o Assist patients with understanding their insurance coverage and payment options.
o Verify patient insurance information and handle the submission of claims.
o Track outstanding patient balances and assist with collections.
o Help prepare and send out billing statements.
o Knowledge of insurances and CDT coding necessary.
5. Compliance and Record Keeping:
o Ensure the practice complies with all HIPAA and other regulatory requirements.
o Assist with audits and ensure accurate, up-to-date patient records are maintained.
o Help in preparing reports for the dentist or office manager.
o Assist with dental practice licenses and insurances are up to date.
Job Types: Full-time, Part-time
Pay: Up to $25.00 per hour
Schedule:
12 hour shift
8 hour shift
Day shift
Evening shift
Weekends as needed
Ability to Relocate:
Berwyn, IL 60402: Relocate before starting work (Required)
