About Us:Our dental practice is dedicated to delivering top-tier patient care, professionalism, and operational excellence. We are seeking a highly motivated Dental Office Coordinator to oversee daily office operations, ensuring efficiency, financial oversight, and patient satisfaction. This is a leadership role requiring strong organizational skills, attention to detail, and the ability to manage multiple people and moving parts within the practice.
Key Responsibilities:
1. Leadership & Office Operations
Oversee the daily operations of the office, ensuring smooth workflow and efficiency.
Maintain accountability among office staff through clear expectations, communication, and training.
Hire, train, and evaluate new employees, ensuring alignment with practice values and goals.
Develop, document, and refine office protocols and procedures for systemization and efficiency.
Ensure timely scheduling of staff, office hours, and special events, such as team outings.
Business growth
2. Financial & Insurance Management
Daily oversight of patient billing, insurance claims, payment collection, and accounts receivable.
Verify insurance benefits, process claims, and manage denials/reconciliations.
Educate patients about financial responsibilities, payment options, and financing plans.
Monitor AR daily, weekly, and monthly to manage cash flow and reduce outstanding balances.
Prepare and present quarterly financial reports on production, collections, and growth metrics.
Manage compliance with Fair Credit Reporting Act and other financial regulations.
3. Patient Communication & Scheduling
Ensure accurate scheduling and appointment confirmations to minimize cancellations.
Manage patient recalls and unscheduled treatment lists to maximize retention and case acceptance.
Oversee patient communication strategies, ensuring a smooth and professional experience.
Fill the schedule.
4. Meetings, Goal Setting, & Performance Evaluation
Lead daily morning huddles, weekly, monthly, and quarterly meetings with structured agendas.
Set and track office performance goals, ensuring accountability through constructive and critical evaluation.
Identify and address operational bottlenecks, continuously improving office processes.
5. Compliance & Credentialing
Maintain OSHA, HIPAA, and BLS/CPR/AED compliance for the office and staff.
Ensure all licensures, certifications, and credentials are up to date.
6. Inventory & Facility Management
Oversee front and back office supply orders, ensuring cost efficiency.
Coordinate facility maintenance and third-party vendor schedules.
