Job Description
POSITION SUMMARY:
The Dental Receptionist is responsible for maintaining the dental appointment schedule and related administrative functions as well as assisting the dentist with x-ray and other tasks as needed. The Dental Receptionist reports to the Office Manager.
SPECIFIC DUTIES:
Registers patients. Inputs data and verifies registration and screens patients for payment source and special program eligibility
Maintains appointment system
Answers telephone, screens and routes calls appropriately, takes messages, and provides information effectively and efficiently
Updates, corrects, and clears clinic route slips
Opens and closes clinic building as required
Meets with patients to establish payment plans for dental services. Accepts payments over the counter, fills out receipts and balances cash as required
Processes insurance/dental authorizations. Contacts patient upon receiving authorizations
Maintains dental records. Files reports in a timely manner; follows check out procedures for dental records; maintains confidentiality of dental records
Processes requests for dental records
Timely completion of telephone reminders for next day appointments
Participates in meetings as required
Translates for dentists and other staff
May be required to work evenings and/or weekends
Performs other tasks as assigned
MINIMUM REQUIREMENTS:
Completion of high school or possession of GED
At least one year of experience as a dental receptionist, customer service employee, or graduation from a dental receptionist program
Ability to relate to low-income, minority community members
Preference will be given to individuals who can communicate effectively in English and Spanish; verbal and written
Ability to type 35 wpm and perform data entry. Applicant to provide typing certificate
Valid California Driver's license, proof of auto insurance and personal transportation
PERFORMANCE REQUIREMENTS:
Knowledge of dental office procedures
Knowledge of grammar, spelling, and punctuation to type patient information
Skill in operating computer, photocopy and facsimile (FAX) machine
Skill in greeting patients and answering the telephone in a pleasant and helpful manner
Ability to communicate clearly
Ability to sort and file materials correctly by alphabetic or numeric systems
Ability to establish and maintain effective working relationships with patients, employees, and the public
TYPICAL PHYSICAL DEMANDS:
Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies. Occasionally lifting files or paper weighing up to 25 pounds. Requires manual dexterity sufficient to operate a keyboard, type at 35 wpm, operate a calculator, telephone, copier, and such other office equipment as necessary. Vision must be correctable to 20/40 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for long periods and to work in an environment which can be stressful.
TYPICAL WORKING CONDITIONS:
Work performed in reception area. Involves frequent contact with patients. Work may be stressful at times. Interaction with others is constant and interruptive. Frequent exposure to communicable diseases, toxic substances and other conditions common to a clinic environment.
