Job Overview:
We are seeking an experienced Administrative Assistant to provide high-level administrative support to our CEO. The ideal candidate will be organized, detail-oriented, and capable of handling a wide range of administrative and executive support tasks.
Duties:
Assist in scheduling appointments, check in/out of dental assistants, verify dental insurance benefits collect payments and run front office in dental office setting.
Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support Dentist. Assist in staff disciplinary actions if needed.
Assist Dentist in CEO with staff supervision to maintain productivity and compliance with company policies
Work closely with the CEO/dentist to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEOââ¬â¢s needs in advance of meetings, conferences, etc.
Coordinate Team meetings and assist with staff meetings and events as needed.
. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.
Follow up on contacts made by the CEO to cultivate ongoing relationships. ââ¬Â¢ Manage all aspects of organizationââ¬â¢s office services. Evaluate and assist in developing office policies and procedures for improved work flow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.
- Perform general office management duties
Experience:
- Proven experience as an administrative Assistant or similar role- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook Calendar)- Strong organizational and time-management skills- Excellent communication and interpersonal abilities-Bachelor degree preferred- Ability to manage phone systems effectively- Skilled in proofreading and data entry- Knowledge of administrative procedures
