CHARACTERISTICS OF THE WORK Under close supervision, performs information processing and administrative work. Responsible for preparing, monitoring, and updating records and files with a personal computer (PC) and general office support at the Family Health Centers (FHC). Serves as a primary contact person for dental services and dental department information.

EXAMPLES OF THE WORK (These statements are intended to be illustrations of the work of this class.) Assists the Dental Director with provider scheduling, which includes maintaining schedules and communicating changes to the Dental Director. Develops and establishes procedures for scheduling appointments and controlling patient flow, with the assistance of dental providers and other appropriate personnel. Processes patient charts, which includes filing and recording services rendered. Develops and conducts orientation and training for staff, volunteers, and temporary employees, as appropriate. Answers the telephone, directs calls to the appropriate personnel, and relays messages, as necessary.
Schedules patient appointments with dental providers.
Receives patients and directs them to the appropriate area.
Coordinates the rescheduling of patients, based upon changes in the dental providersââ¬â¢ schedules.
Prepares patient referrals to outside agencies.
Receives and processes cash, check, and credit card payments.
Runs daily cash report and balances the cash drawer.
Schedules interpreters for patient visits.
Types routine and specialized correspondence, including statistical reports.
Inventories and orders dental supplies.
Reviews time sheets for scheduling purposes.
Participates in committee meetings and work groups, as required.
Coordinates receipt of paperwork/documentation from medical front office employees.
Identifies patients with Limited English Proficiency (LEP) and/or other communication barriers and uses appropriate interpretive service; documents use of interpretive services.
Adheres to standard precautions. Performs related work as required.
Minimum Requirements
MINIMUM REQUIREMENTS High school graduation or its equivalent. Three years of administrative/clerical work experience in a healthcare setting, which must have included appointment scheduling and the use of a personal computer OR Graduation from an administrative/clerical certificate program AND Two years of administrative/clerical work experience in a healthcare setting, which must have included the use of a personal computer. Types accurately at 25 WPM. An equivalent combination of training and experience may be substituted, as determined applicable by Civil Service. PHYSICIAL REQUIREMENTS AND WORKING CONDITIONS Responds to patient and FHC needs via telephone, internet, fax, computer software and in person. Identifies dental record documentation, requests and/or releases. Lifts and moves materials weighing up to 5 lbs to other floors and locations of the building. Spends time standing, walking, climbing, stooping, bending, and reaching. Spends extended periods of time typing and reading computer screens. Must wear personal protective equipment (PPE), as mandated by OSHA and/or FHC. SPECIAL REQUIREMENTS Must be available to work extended hours, including evenings and/or Saturdays as needed. Must provide own transportation to work at other FHC locations as needed.
