Highly experienced Dental Front Office team member wanted to join our highly positive dental team. We are a vibrant and fast-paced dental practice dedicated to providing exceptional oral healthcare to our patients. Our office is known for its warm and welcoming atmosphere, where we prioritize patient comfort and satisfaction. We are looking for someone that can work Tuesday through Friday.
Job Description:
The Treatment Coordinator plays a crucial role in a dental office, ensuring seamless patient service and efficient operations. This position requires a strong understanding of dental office procedures and patient care. As a Dental Treatment Coordinator team member, you will facilitate the work flow and patient flow, patient safety / patient education and participation in treatment acceptance by patients. Responsible for operations support, specialty referrals and reporting. Essentially, this role’s primary purpose is to help patients overcome the barriers to obtaining the dentistry they need. Your main duties will include:
- Greeting patients warmly and making them feel comfortable and at ease
- Managing appointment scheduling, confirming appointments, and sending out reminders
- Handling patient inquiries, providing excellent customer service, and addressing any concerns or issues
- Shares any opportunities for same day dentistry for patients coming in that day that have unscheduled treatment
- Maintains patient records per office protocol
- Assures functional operations that support the delivery of efficient and effective patient care
- Demonstrates effective communication, and leadership skills
- Assists the doctor in treatment plan presentations
- Enters treatment plans into the software
- Discusses the more complex treatment plans with patients in an effort to help patients understand their need for care
- Builds value for the doctor, the assistant and the recommended treatment
- Helps patients find a way to comfortably afford the dentistry they need by making financial arrangements per office protocol
- Answers patients’ questions regarding treatment and finances
- Creates financial arrangements per office policy
- Ensures patients sign treatment plan forms
- Scans all signed treatment plans into the software
- Completes all follow up for all recommended treatment that remains unscheduled in a timely manner using the practice protocol
- Documents all patient conversations in practice software
- Schedules patients as treatment is accepted, according to the template for the doctor’s schedule
- Reviews the doctor’s schedule at least two days prior and fill any openings
- Provides progress reporting and data monthly
- Is the liaison for specialist offices by helping patients schedule their appointments with the referring offices
- Reviews reports from specialty offices and contact patients to schedule their next step as appropriate
Job Requirements:
To excel in this role, we expect the following qualifications:
- Prior experience in a dental front office position is required.
- Strong communication skills with the ability to interact professionally and compassionately with patients and team members.
- Excellent organizational and multitasking abilities to manage a busy schedule and handle multiple priorities.
- Proficiency in dental software and computer applications for appointment scheduling, patient records, and insurance processing.
- Attention to detail and accuracy in maintaining patient records and processing financial transactions.
- Knowledge of dental insurance plans, billing procedures, and treatment financing options.
- Commitment to maintaining patient confidentiality and complying with HIPAA regulations.
- A positive and enthusiastic attitude with a passion for delivering exceptional patient care.
- Ability to work in a team-oriented environment and contribute to a fun and supportive office culture.
- Flexibility to adapt to changing circumstances and willingness to take on additional responsibilities as needed.
