Our practice is a welcoming and patient-centered dental practice committed to providing exceptional care in a comfortable and friendly environment. We are currently seeking a highly organized and motivated Dental Front Office Coordinator to join our dynamic team. If you're passionate about helping patients, managing office operations, and contributing to a positive and efficient office environment, we'd love to meet you! Current position is part-time however we are looking to grow it into full-time with the right team member.
Job Summary: The Dental Front Office Coordinator plays a key role in ensuring the smooth operation of the dental practice. This position is responsible for providing excellent customer service, managing patient interactions, and handling administrative tasks related to scheduling, billing, and patient records. The ideal candidate will have excellent communication skills, a strong attention to detail, and a proactive approach to solving problems.
Roles and Responsibilities:
1. Patient Scheduling & Management:
Greet patients and check them in upon arrival.
Schedule and confirm appointments via phone, email, and text.
Coordinate appointment reminders and reschedules.
Ensure proper patient flow and assist with appointment rescheduling when necessary.
Handle cancellations and patient follow-ups.
2. Insurance Verification & Billing:
Verify patient insurance information and coverage prior to appointments.
Submit insurance claims and follow up on claim status.
Assist with insurance and billing inquiries, explaining coverage and patient responsibilities.
Process payments, copays, and balance collections in a timely and courteous manner.
Maintain accurate patient billing records and account balances.
3. Patient Records Management:
Ensure all patient information is entered and updated accurately in the system.
File and organize patient records, including medical history, consent forms, and treatment plans.
Maintain confidentiality of patient records in accordance with HIPAA regulations.
4. Customer Service & Communication:
Answer phones professionally, taking messages and directing calls to the appropriate team members.
Respond to patient inquiries via phone, email, and in person.
Provide information about the practice, services offered, and general dental care.
Address patient concerns or issues with empathy, professionalism, and efficiency.
5. Front Office Administration:
Maintain the front office area, ensuring it is neat, organized, and welcoming.
Manage and update office supplies, ensuring the practice has all necessary materials.
Handle incoming mail, faxes, and other correspondence as needed.
Assist with the coordination of office meetings, training, and other administrative tasks.
6. Collaboration with Dental Team:
Communicate effectively with dental assistants, hygienists, and dentists to ensure smooth patient care delivery.
Assist with patient check-out procedures and provide necessary follow-up information, such as post-treatment care instructions.
Participate in regular team meetings to discuss office performance and patient satisfaction.
Qualifications:
High school diploma or equivalent; dental office experience preferred.
1-2 years of experience in a dental office
Familiarity with dental software (Eaglesoft) preferred.
Knowledge of dental insurance plans, coding, and billing procedures.
Excellent communication, interpersonal, and organizational skills.
Strong attention to detail and ability to multitask in a fast-paced environment.
Ability to maintain professionalism and confidentiality.
Bilingual (Spanish or other languages) is a plus.
