Job Summary:
As the Treatment Coordinator/Front Desk Scheduler, you will be the first point of contact for our patients, ensuring they feel valued and supported throughout their treatment journey. You will coordinate comprehensive treatment plans, manage appointment schedules, and deliver exceptional customer service while maintaining the high standards of our practice. Your role will involve not only understanding dentistry but also collaborating closely with patients to create administrative plans that support their treatment. You must have the ability to empathize with both the Doctor and the patients by constantly asking yourself how you would feel if you were in their shoes, aiming to create a happy and harmonious work environment with a disciplined work ethic.
Key Responsibilities:

Patient Interaction: Greet patients warmly, ensuring they feel comfortable and cared for from the moment they enter our office. Provide elite five-star service with excellent phone etiquette and in-person communication.
Treatment Coordination: Work closely with dentists and hygienists to develop and present comprehensive treatment plans. Sit with patients to explain procedures, financial options, and create an administrative plan that aligns with their needs. Provide pre-op and post-op instructions to ensure patients are well-prepared and supported throughout their treatment.
Scheduling: Strategically manage the daily appointment schedule to optimize office resources and increase production. Ensure that patient appointments are timely, efficient, and contribute to the smooth operation of the practice.
Business Insight: Understand the business side of the practice, taking the initiative to schedule days that will boost production and support the growth of the practice. Be resourceful, dependable, and able to work independently, anticipating the needs of the office without needing direction.
Administrative Duties: Keep the office organized and in top shape, ensuring all patient records are accurate and all required documentation is completed and filed correctly. Take initiative in maintaining a pristine and efficient work environment.
Office Support: Assist in the overall coordination of office activities, ensuring the reception area reflects the high standards of our practice. Be the doctor’s right hand, anticipating needs and providing proactive support.

Front Desk Management: Run the front desk and receptionist area, ensuring it operates smoothly and efficiently. Answer phones, take detailed and accurate messages, and provide information to patients and vendors as needed.
Supplies and Maintenance: Maintain and restock supplies for both the front and back office. Pay office bills, including those for labs and any office maintenance, ensuring the office runs smoothly without disruptions.
Office Operations: Operate common office machines, such as copiers and fax machines, ensuring all equipment is functioning properly to support office needs.

Qualifications:

Experience: Minimum of 2-3 years in a similar role within a high-end dental or medical practice.
Education: Some college or specialized training in dental office administration preferred.

Skills:

Strong organizational and multitasking abilities.
Excellent communication skills, both written and verbal.
Proficient in dental office software (e.g., Open Dental Dentrix, Eaglesoft).
Great phone etiquette and the ability to meet new people with enthusiasm and kindness.
